Why MSP Projects Break Down — and How to Fix Them

Moovila CEO Mike Psenka explains why structure, not heroics, is key to better project delivery for MSPs.

Project management shouldn’t feel like a gamble. Yet for many MSPs, inconsistent processes, fuzzy timelines, and one-off project plans make delivery harder than necessary. It also makes margins harder to protect. That’s the gap Moovila aims to close with Project Hub.

Project Hub, announced in early November, is Moovila’s prebuilt library of vetted project templates. These give MSPs a clear starting point for running projects with more structure, predictability, and confidence.

Moovila CEO and Founder Mike Psenka recently sat down to discuss the new platform with ChannelPro. He revealed why Project Hub has resonated so strongly with MSPs, particularly smaller providers, and shared how it fits into the company’s broader vision of programming work instead of reacting to it.

Here are some highlights from the conversation, edited for clarity and brevity.


What Kind of Feedback Have You Received from Partners Since Project Hub’s Launch?

Psenka: It’s been great. What’s really been interesting is that Project Hub is appealing down market. Traditionally, we’ve worked with MSPs that have 20 or more employees, but smaller MSPs need guidance or structure, and Project Hub gives them that. It gives them this starter pack, a leap-off point, so they have confidence to know, “This is a best practice. We’re doing it the right way.”

Having content-rich templates that they know have been vetted as a good starting point is a great helper. We heard from a lot of customers that getting set up with templates was one of the most helpful things we did for them. That was the difference between projects being painful and scary to becoming a product they can sell, amplify, and have good margins on.

Why Was a Project Management Hub for MSPs Needed in the First Place?

Psenka: Many MSPs lack structure. They don’t always know where to start. Projects fail when teams can’t plan for dependencies, risks, or resource constraints. Project Hub gives them a foundation to work from. A lot of MSPs were just blind to the knowledge they already had. Once they could see it structured, projects stopped feeling chaotic and started feeling repeatable.

How Does Project Hub Differ from Existing Templates in MSP PSA Tools?

Psenka: The templates in existing PSA platforms are not very feature rich or dense, so they’re not a great starting point. A running joke is the “Projicket,” where someone has a big project with three tasks and everything gets dumped into a handful of tickets. That’s not a project plan. When everything is lumped together, you can’t diagnose problems. You just know you went 30 hours over, but you don’t know why. You need granularity to understand where things went wrong. That’s what Project Hub enables.

What’s Does Moovila Have Planned Next for Project Hub?

Psenka: We’re getting a lot of requests for the ability to produce proposals out of the platform. Because we already have all the details, we’re excited about combining deterministic schedules and budgets with GenAI to produce customer-facing narratives. We’re also building an in-app LMS, called Mentor Plus. It’s role-based and curriculum-driven, designed to teach people how to be better project managers using best practices. It will integrate with Project Hub so users aren’t just given templates, but guidance on how to use them correctly.

Why Is This Especially Important for Smaller MSPs?

Psenka: A lot of smaller MSPs say, “We don’t have many projects, project management skills, or resources.” Project Hub answers the question of where to start. Mentor Plus answers how to do it well. If you hire someone new, they can come in, go through the curriculum, and get onboarded quickly within the platform. That’s a big deal for MSPs trying to scale without adding chaos.

What Excites You Most About Where This Is Heading?

Psenka: This idea of programming work. Work shouldn’t just be managed; it should be programmed. Humans have to work next to automation. No programmer writes code without a debugger. You shouldn’t be creating large, structured work plans without monitoring and continuous improvement. What we’re seeing with our partners is material efficiency gains and quality-of-life improvements. It’s not constantly worrying about unpleasant surprises lurking in the shadows.

A lot of MSPs are still living in break/fix mode with projects. Our customers are starting to see this as similar to the shift to RMM. There’s more safety and surety, and that transformation is already underway.

What else Should MSPs Know About Moovila’s Direction?

Psenka: I’m really proud of what our product and technology team puts out. We’re responsive to the partner community. Things we hear at events often turn into product updates within six months. Our focus is on helping partners be more profitable and successful in their business endeavors.
