Browser-based WebSearch app integrates with the company’s content management solution Archive Studio for secure, company-wide, and remote retrieval of documents and communications.

Content management software developer DocuLex announced last week that it has begun providing data mining capabilities via the company’s WebSearch program.

The announcement means that users can employ a simple keyword search to sift through all their documents—in all file formats–in order assist in executive and administrative tasks.
DocuLex Announces Data Mining Tool

Data mining is the extraction of hidden predictive information from documentation. It can be used to help companies focus on the most useful data per subject. The practice can be employed to help in revisiting history and predicting future trends and behaviors.

Available as a local installation or as a cloud/software service, WebSearch is a component of DocuLex’s Archive Studio, which itself provides network-enabled document capture and image processing software and browser-based document and content management.

The software enables colleague collaboration, email archiving and compliance, knowledge management, business process, and collaborative workflow and records retention.

WebSearch searches can be performed using document-specific meta data descriptions, full text content, date ranges, search history, search lists, and saved searches.

According to DocuLex, WebSearch is “an easy-to-use, browser-based content management program developed for use throughout a business’s operations to enable secure content access from any location with convenience of use that is similar, yet easier, than an Internet search engine.”

Features of WebSearchDocuLex Announces Data Mining Tool
The WebSearch “WorkSpace” enables users to group sets of documents together to be shared with colleagues. A discussion feature has been added for users to comment on document’s content. The SharePortal function of WorkSpace enables secure sharing of documents with approved third-party guests.

Documents of any file type may be uploaded directly to WebSearch, indexed (with additional document identifying metadata added remotely if necessary) for native format storage and ease of access.

DocuLex WebSearch also has the capability of pulling all inbound and outbound email from the Microsoft Exchange Journal mailbox. This automated process negates user involvement, ensuring thorough capture and retention of all email and attached content.

The SQL or SQL Express database support handles substantial file data storage, providing users with Microsoft’s off-the-shelf database power.

The Active Directory integration enables heightened security and user permission access and tracking. The program manages multiple levels of security, including organization, community, group, users, and individual files. Document and user activity tracking logs are also always available, assisting in compliance of privacy laws including SEC, FINRA (NASD / NYSE), GLBA, HIPAA, FRCP, FERC, and Sarbanes Oxley.

Email is secured by WebSearch, maintaining private access rights by sender or recipient. Email deletion, however, is unavailable by users, access logs are maintained and retention is managed by the records management module.

Incoming, outgoing, and internal emails are captured instantly and actively by the archive server using a journaling function inherent to the clients’ mail server (for Exchange and POP3 servers). Any email and attachments sent or delivered will be archived and processed.

Captured messages are placed in a locally delivered archive mailbox (without open transmission). This mailbox is the sole domain of each organization.

WebSearch also serves as an off site document archival/disaster recovery facilitator, with advanced public-key infrastructure (PKI) providing encryption and digital signature security for outsourcing daily-use information access to the electronic file storage.
